Cloud business phone evaluation guide

A practical starting point for your buying team. Use these questions to prepare the brief and identify what still needs to be resolved.

Map how people use the phone system.

List the teams and locations involved, how calls are routed today, and the tasks that create friction. Separate essential calling requirements from optional collaboration features. Include remote staff and the people who administer the service.

Check the proposed operating scope.

Ask providers to identify the calling plans, integrations, devices, administration tools, and support included in the proposal. Record usage assumptions, extra charges, and any work your team must complete. Compare each proposal against the same requirements.

Plan number porting and changeover.

Document the numbers involved, the current agreements, and the people responsible for the transition. Ask each provider to explain its dependencies, expected process, testing, and support during the change. Agree how the team will handle unresolved issues.

Make adoption part of the decision.

Include training, internal communications, user support, and ongoing configuration ownership. A short project brief should explain the outcome you want, the people affected, and the timing before a detailed provider discussion.
